Building Consent Approvals is the first Accredited truly Independent nationwide Building Consent Authority for New Zealand. After working closely with MBIE our registration is imminent. 

We will be the first high performing Independent BCA with a focus on delivering exacting services to meet our client’s needs. Every aspect of our business is focused on delivering solution focused outcomes for our clients within the context of our Regulatory responsibilities.

Our scope of Accreditation has been defined to ensure we can deliver low risk, cost effective and efficient residential consenting services to our clients, our scope of accreditation includes new residential buildings only.

Purpose of your role:

Your role is responsible for supporting the building technical support team in the provision of technical, administrative support and client services across all aspects of the building control and compliance functions, with a view to optimising workflow, streamlining processes, and most importantly, supporting the delivery of building control function services that exceed statutory and BCAL timeframes. A critical function of this role will be the vetting and allocating building consent and code of compliance applications.

What you are responsible for:

Strategy and Leadership

  • Ensure Building Consent Approvals consistently works collaboratively with clients to deliver operational and strategic outputs regarding the administrative functions related to all building control functions services and associated business and quality procedures
  • Identify emerging issues and resolve them at the earliest opportunity. Escalate issues to the Building Support Manager that are identified as a risk to the business.
  • Utilise risk management as a tool for collaborative decision-making.
  • Support a culture of high engagement, with staff motivated and enabled to achieve individual, team and organisational goals.
  • Role model the company’s shared vision and values and ensure your team consistently demonstrate these.
  • Ensure your team members have the necessary tools and resources to achieve business objectives, priorities and outputs.
  • Support inclusion and collaboration to ensure that BCAL responds to stakeholder needs in a timely, reliable and transparent manner.

  • Support your team to deliver an exceptional client-centric end-to-end process for our people, contracted services, and contractors.
  • Support client enquiries, complaints and compliments, ensuring issues are escalated as and when required.
  • Work collectively across Building Consent Approvals to manage and resolve any client complaints, and/or escalate where necessary to manage and mitigate business risk.

Quality Assurance

  • Support the achievement of and ongoing retention of IANZ accreditation.
  • Ensure the BCA Quality Assurance Manual policies and procedures are followed across the Building Consent Approvals team.
  • You will constantly look for new and innovative ways to improve Building Consent Approvals ways of working to deliver exceptional service to the client and the industry.
  • Support the Building Support Manager in the compliance and management of policies, procedures and supporting documentation to meet Regulation requirements as defined in the BCAL Quality Manual and Quality Control Framework 

Technical Support and Administration

  • Support all technical support administrative tasks are achieved in accordance with Building Consent Approvals quality Manual and KPI’s
  • Support and administer the receiving, vetting and allocating of building consent applications
  • Support and administer the Issue of building consents after technical decisions are made and invoice paid
  • Support and administer the receiving, and allocation of building inspections liaising with clients, staff and contractors as required
  • Support and administer the Issue of code compliance certificates after technical decisions are made ensuring invoices are paid
  • Support and administer and ensure all T/A responsibilities under section 238 of the BA04 are met
  • Ensure Building Consent Approvals operating procedures are complied with
  • Provide high quality administration support for continuous implementation of Building Consent Approvals Regulation and Quality system requirements
  • Assist in the maintenance of technical and office resources.

Information Management

  • Support and administer incoming documentation whether email or portal and process or allocate as appropriate
  • Update consent records as appropriate based on information sent or received
  • Ensure all incoming documentation is actioned and stored or filed correctly
  • Maintain a high communication standard and appropriate documentation to establish clear audit trails for use with subsequent IANZ audits.

Stakeholder Engagement and Management

  • Develop and maintain sound working relationships, networks and partnerships with key clients.
  • Represent Building Consent Approvals as required, in external situations as appropriate or as requested by the Building Support Manager.

What you bring to the role?

  • Excellent administration skills.
  • At least two years’ experience in a related/similar role.
  • Demonstrated experience leading a high performing team.
  • Working knowledge of Building Act and Local Government Legislation.
  • Previous experience in a leading administrative role at Local Government.
  • Demonstrated experience in delivering exceptional client service.
  • Experience in building and managing teams, including influencing cultural change.
  • Accuracy and an eye for detail.
  • The ability to effectively manage difficult situations and challenging clients.
  • The ability to optimise workflow and prioritise workloads.
  • You are as cool as a cucumber under pressure.

Qualifications:

  • NCEA Level II or equivalent business or administration experience.
